How to Compare Manufacturing Quotes in Australia

To compare manufacturing quotes fairly, use the same product specification, order quantity and finished pack. Separate one-off development costs from repeat production costs, then check the testing, packaging and delivery included in each price.

This checklist will help you compare proposals for supplements, foods, beverages, skincare and personal care products in Australia. Use it to identify the questions that need answering before you choose a supplier.

Start with one written product brief

Send the same brief to each shortlisted manufacturer. Include your product format, proposed formula or development needs, pack size, packaging, target order quantity and desired launch timing. Use our manufacturing quote request checklist to prepare the brief.

If a supplier proposes an alternative ingredient, formula, pack or quantity, record it as a separate option. Ask for an explanation rather than comparing that option directly with the original specification.

Separate development costs from production costs

Ask the supplier to itemise formulation work, samples, testing, packaging setup and the production run. Confirm which charges are one-off, which recur on each order and which remain estimates.

A useful comparison has three totals: cash needed before production starts, total cost of the first order, and the expected cost of a repeat order at the same quantity. Confirm whether quoted amounts include GST and whether delivery is included.

Compare the same finished unit

Define a unit clearly: for example, a finished labelled bottle containing your specified number of capsules, or one finished retail pouch at your specified fill weight. An ingredient price, bulk manufacturing price and finished retail-unit price describe different scopes.

For your own comparison, divide the included order costs by the quoted number of finished units. Keep development costs visible separately. Record every exclusion alongside the result so that an apparently lower price does not hide work you still need to pay for.

A simple cost comparison example

In a hypothetical quote, recurring production and packing costs of $10,000 for 2,000 finished packs equal $5 per pack. A separate $2,000 development fee brings the first-order total to $12,000, or $6 per pack before any excluded freight, testing or tax. These numbers are illustrative, not market prices. Keep both the first-order and recurring figures visible when comparing proposals.

Ask what the minimum order actually means

Request the minimum order in both finished units and any relevant batch measure. Confirm whether there are separate minimums for ingredients, bottles, labels or printed packaging, and whether unused materials will be stored, returned or charged to you.

Ask for written pricing at the quantities you can realistically fund. Do not assume that a manufacturer offers low minimums or startup-friendly terms unless it confirms them for your specific product.

Make quality and testing scope explicit

Ask which tests, specifications and release documents are included in the quote. Confirm who arranges additional testing and how changes to ingredients or packaging affect the agreed scope.

Request current evidence for any certification or licence relevant to the proposed work. A directory listing is a starting point for your shortlist; confirm suitability for your product directly with the supplier.

Check timing and responsibilities

Ask for milestones covering brief approval, sample approval, packaging approval, production and dispatch. Confirm what starts the lead-time clock and what happens if you change the brief.

  • Exclusions, assumptions and questions awaiting written answers.
