What to Include in a Manufacturing Quote Request
A manufacturing quote request should cover the product, formula or development work, pack size, order quantity and launch timing. Tell the supplier what is already decided and where you need help.
Send the same brief to each shortlisted business. If a detail is still undecided, say so and ask what the supplier needs to assess the project.
Product concept and customer
Describe the product type, intended use, target customer and sales markets. Include the format, pack size, proposed ingredients and any benchmark product. Explain the desired attributes in practical terms: texture, taste, fragrance, serving size, appearance or packaging function. Include any proposed product claims so the relevant requirements can be checked before the specification is finalised.
Development scope
State whether you have a complete formula, need custom formulation, want to modify a base or are considering private label. Specify the work you need: samples, sourcing, testing, stability work, production, filling, packaging or product-development support. Ask who owns the resulting formula and documents.
Quantity, packaging and timing
Give an approximate first-order quantity. If you have a repeat-order forecast, label it as an estimate rather than a commitment. If the quantity is undecided, ask for quotes at two or three quantities that match your budget. Include your intended packaging, label format and whether you will supply components. Provide a target launch window and distinguish a firm deadline from a preference.
Commercial information to request
Development and sample fees, including the number of revisions.
Minimum orders for the finished product, ingredients and packaging.
Itemised unit costs, separate testing, packing and freight charges, and whether GST is included.
Quote validity, payment milestones and cancellation conditions.
Sample, procurement and commercial production lead times.
In-house and outsourced steps, with relevant facility details.
Product specifications, acceptance criteria and batch documentation.
Ownership, confidentiality, exclusivity and transfer arrangements.

Before sharing confidential information
Start with enough detail for the supplier to assess fit. Discuss confidentiality arrangements before sharing proprietary formulations or sensitive commercial details. A quotation is the beginning of the assessment; agree the specification and commercial terms before placing an order.

What if your formula is not final?
Describe the product you want to develop and mark the unknown details. Ask for a development proposal first if the supplier cannot confirm a production price yet. Keep an initial estimate separate from a final quote based on an agreed specification.
